AI receptionist for Accuro with HIPAA encryption, audit trails, and secure PHI handling

All patient calls and data are HIPAA-encrypted and logged. The AI writes only safe data to Accuro; sensitive details are captured separately and accessed only by authorized staff.

How it pays back

PHI lives in two places only: Accuro and the secure portal

Call recordings and transcripts are stored in an encrypted vault tied to Accuro. Appointment details, caller information, and other captured data are structured and returned as EMR-pasteable summaries for your staff to review and file. No data is forwarded to external servers or email.

Audit trail for compliance and defense

Every call is timestamped with caller details, what the AI heard, what was escalated, and what was written to the chart. If a breach claim or audit occurs, you have complete proof of your handling.

Your staff controls access to call data

Billing staff see appointment and caller captures. Clinicians see structured summaries. Front desk sees appointment requests. No one sees data they don't need, and all access is logged.

HIPAA-encrypted from call to storage

All patient data encrypted end-to-end; no unencrypted transmission

Audit logs for every call and data access

Timestamps, caller ID, AI actions, staff access, and escalations all recorded

PHI never leaves Accuro or the secure portal

No third-party sharing, no data brokers, no external cloud storage

Role-based access control

Staff can see only the data they need; all access is logged

Frequently asked questions

Are all calls recorded and where are they stored?

Yes, calls are recorded and stored encrypted. They live in a HIPAA-compliant vault linked to Accuro. Only staff with permission can access them. You can set retention policies (e.g., delete calls after 90 days) based on your compliance needs.

What happens if a patient asks to opt out of recording?

The AI honors the request. The call is not recorded, but appointment details are still captured and written to Accuro. This is noted in the chart so your team knows the call was not recorded.

Is insurance information passed to third parties for verification?

No. Insurance details are captured on the call and stored in your secure patient portal as a structured summary for your staff to review and enter into Accuro. No third-party verification vendors see the raw data.

What's the data retention policy?

You set it. Most practices keep call records for 6–12 months; some keep them indefinitely for defense. After your chosen retention period, records are securely deleted. Your security officer can audit deletions.

Does this meet HIPAA Business Associate requirements?

Yes. The AI receptionist service is a Business Associate under HIPAA. We sign a BAA with you, maintain audit logs, report breaches within 60 days, and undergo annual compliance reviews.
