EMR Integration

New patient demographics flow from AI calls directly into your EMR—no double entry

Every new patient call collects name, date of birth, phone, and reason for visit. That data syncs instantly to your EMR. Your staff skips manual entry and focuses on clinical intake.

How it pays back

New patient record ready before first visit

By the time the patient arrives, their demographics are in your EMR, appointment is confirmed, and chief complaint is documented. Check-in is faster.

No front desk double entry

Front desk staff don't re-type name, DOB, phone, or visit reason. That work is already done. Fewer errors, faster setup.

Insurance and ID handled flexibly

AI captures insurance info on the call or asks the patient to upload via the portal. Your staff review it before filing. No lost or forgotten cards.

Structured clinical summary ready for staff

Medical history, allergies, medications, and symptoms from the call are organized as a summary. Your clinician reviews it, then files it into the permanent chart.

Scales across multiple new patient calls per day

Whether you have 5 or 50 new patient calls daily, demographics are synced and ready. No backlog, no manual data entry pile-up.

Frequently asked questions

What patient information does the AI collect on the first call?

Name, date of birth, phone number, and reason for visit are captured and synced to your EMR. The AI may also ask about insurance, allergies, and current medications. Insurance cards and photo ID can be uploaded in the MedReception patient portal or collected during the call.

Does insurance information auto-populate into the chart?

Insurance information is captured on the call and provided to your staff as a structured summary. Your staff review it and file it into the patient record. Insurance is not auto-written to the EMR; your team has the final say on what enters the chart.

What if the patient has questions the AI can't answer during intake?

The AI can transfer to a staff member for additional questions, or it can schedule the new patient appointment and note that clinical questions are pending staff follow-up. The AI prioritizes getting the appointment booked and demographics captured.

Can we customize what questions the AI asks new patients?

Yes. You define the intake flow during setup. Some practices ask only basic demographics; others want more detail on medical history or symptoms. The AI adapts to your workflow.

What happens if a patient's name or DOB doesn't match our EMR records?

The system alerts your staff to potential duplicates or mismatches. Your staff confirm whether it's a new record or an existing patient, then proceed. AI never overwrites or merges records without human review.

Is patient demographic data HIPAA-secure during sync?

Yes. All data transmitted between the AI and your EMR is encrypted and logged. Sync occurs over secure API connections using your EMR's standard security protocols.
