How Multi-Location Medical Practices Use One AI Receptionist to Route Calls Across All Clinics

A single AI receptionist answers calls for all your clinic locations, understands which office a patient needs, and routes them—or books appointments—at the right site. No confused patients, no inter-office phone transfers.

How it pays back

One number for all locations—patients don't guess which clinic to call

Patient calls your main number; AI asks 'Which location is most convenient for you, or should I find you the nearest office?' Then routes accordingly. No more 'Did I call the right place?'

Appointments booked at the right office, in the right EMR, the first call

AI knows which provider works where and which EMR each location uses. It books the patient at their preferred clinic with one interaction—no transferring between locations.

Your providers see unified patient records, not scattered data

Whether a patient calls the downtown clinic or the suburban office, the AI writes to the same EMR. Providers see the full history and scheduling across the network.

After-hours coverage is unified, not fragmented

One AI agent covers all locations after hours. No patient reaches a different service for each office; no coordination gaps.

Multi-location on-call escalations are instant and accurate

Urgent calls are routed to the correct on-call provider for that location's schedule, not a generic on-call pool. Faster response, less confusion.

Frequently asked questions

How does the AI know which clinic a patient needs if they call a general number?

The AI asks simple questions: 'Which location works best for you?' or 'Are you near downtown or the suburban office?' If the patient has history in your EMR, the AI can recognize them and suggest their usual location. If they're new, it offers options based on geography or provider specialty.

Can I keep location-specific phone numbers?

Yes. You can give each location its own number, and the AI answers all of them. The AI knows which location each number serves and routes accordingly. Or you can use a central number and let the AI route. Both work.

What if my locations use different EMRs?

The AI can be configured to integrate with multiple EMRs. If location A uses Tebra and location B uses Epic, the AI routes appointments to the correct EMR and writes data to the right system. This requires configuration but is supported.

How does urgent escalation work across multiple locations?

The AI checks the on-call schedule for each location. If an urgent call comes in and the caller is a patient of the downtown clinic, it routes to the downtown on-call provider. If they're calling the suburban office, it routes to that location's on-call team.

Can the AI book a patient at a different location than they called?

Yes. If a patient calls the downtown clinic but the AI sees that a particular provider is available at the suburban location sooner, it can offer that option and book there if the patient agrees.

What if I add a new clinic location later?

The AI can be updated to recognize and route to the new location. No new agent, no extra cost per location—just configuration changes.
