Kareo Integration

Switching to Kareo doesn't mean disrupting your phones—AI receptionist bridges your schedule and operations seamlessly

Practices migrating to Kareo often worry about call handling and scheduling continuity during the switch. An AI receptionist connects to your new Kareo setup immediately, so calls are answered and appointments are booked from day one.

How it pays back

Your Phones Stay Live During Kareo Go-Live

Changing EHRs is chaotic enough. Your call handling is already handled by the AI. Patients reach you. Appointments book reliably. No staff scrambling with both new software and new phone protocols on the same day.

Fewer Call Interruptions During Training

Your team is learning Kareo. The AI is managing inbound calls. Staff attend training without worrying that callers are going unanswered. Less stress, better focus on the EHR transition.

Historical Call Data Available for Compliance

If you're moving from an older phone system, we keep a full audit trail of AI-handled calls, recordings, and structured summaries. Any compliance questions about call handling during the transition are answerable.

New Patient Bookings Start Clean in Kareo

Any new patient who calls during your Kareo transition is entered into your new system by the AI. You don't have fragmented patient records split between old and new systems. Everything new goes to Kareo.

Frequently asked questions

How long before the AI is ready to work with our new Kareo account?

Once you schedule your Kareo go-live date, we connect the AI to your new Kareo environment a few days before launch. We test all integrations (calendar sync, patient record lookup, urgent escalation) with your team. By go-live morning, everything is live and ready.

What happens to calls that come in before we finish our Kareo data migration?

The AI still answers them. If the caller is an existing patient, the AI looks up their record in your old system to confirm they're a patient. For new callers, records are created in your new Kareo account. Existing patient history stays in your old system during the transition; your team manages the handoff.

Do we need to brief the AI on our Kareo setup or schedule?

Minimal. We pull your provider roster, clinic locations, specialty routing, and availability directly from your Kareo account. You just make sure your Kareo calendar is accurate before go-live. The AI learns the rest.

If something breaks on go-live day, can we turn the AI off quickly?

Yes. If there's an issue, you can failover to a phone tree or traditional voicemail in minutes. But in most cases, the AI becomes your most stable piece of the transition—it's not dependent on your internal Kareo setup working perfectly. It handles calls regardless.

Can the AI read our old EHR if we're switching from AdvancedMD or Athena to Kareo?

The AI can integrate with your old system during the transition window to look up existing patients. Once you're fully on Kareo, the AI stops reading the old system and works exclusively with Kareo. This minimizes data conflicts.
