Step-by-step setup: connect Kareo, configure your practice rules, and go live—your existing workflows stay intact

MedReception integrates securely with your Kareo account. Your existing appointment schedule, provider list, and patient database become the AI's source of truth. Setup takes days, not weeks.

How it pays back

No rip-and-replace of Kareo

Your Kareo setup, templates, workflows, and user access stay exactly as they are. The AI works alongside your system, not replacing it.

Minimal IT burden

MedReception handles the API connection to Kareo. Your IT team doesn't need to build integrations or maintain custom code. Security and compliance are managed by MedReception.

Go live in days

Most Kareo practices are up and running within a week of signing up. Configuration is straightforward; no clinical workflow redesign required.

Your front desk adjusts gradually

Start with after-hours calls first if you prefer. Once your team sees that bookings and escalations work reliably, expand to business hours. Change happens at your pace.

Frequently asked questions

What Kareo permissions does MedReception need?

MedReception requires read access to your patient database (to look up existing records), write access to create new patient records and appointments, and access to your provider schedule (to check real-time availability). Your Kareo admin configures these permissions in your API settings.

Will MedReception interfere with my current Kareo workflows?

No. MedReception reads from and writes to Kareo just like your front desk does. Existing workflows—prior auth, referral management, clinical documentation—continue unchanged.

How long does setup take?

Typically 3–7 days. You'll provide Kareo API credentials, configure call routing rules and hours, map your phone number, and test a few mock calls. No clinical re-training needed.

Can we start with after-hours only?

Yes. Many practices deploy after-hours first to test the system, then expand to business hours once the team is confident. You control when calls route to AI.

What happens if MedReception loses connection to Kareo?

Calls are answered and collected by MedReception. If the Kareo API is temporarily unreachable, new bookings and patient records are queued locally and synced as soon as the connection is restored. No calls are dropped.
