MedReception encrypts all calls, stores recordings securely, and provides audit logs linking each call to your Kareo appointment or new patient record. Your compliance and medical-legal teams have the evidence they need.
When a patient disputes what they said on the phone, or a clinical question arises about what was discussed during scheduling, the call recording and structured summary are in your Kareo chart. You have evidence of the conversation, not just a note that says 'patient called.'
Your compliance officer runs a report showing all AI receptionist calls, their timestamps, the PHI captured, and who accessed it. No hunting through email or paper records. The audit trail is built in and exportable for regulators or internal review.
MedReception encrypts all data in transit (TLS 1.2+) and at rest (AES-256). Access is role-based—only staff with Kareo permissions can listen to calls or review patient details. Unauthorized access is blocked and logged.
If your state requires call recording consent, MedReception handles it upfront. If a patient opts out of recording, the AI receptionist still captures structured data, but no audio is stored. Your Kareo record reflects the consent status.

All calls are captured and stored securely. Recording consent is handled at the start of the call based on your state's requirements (one-party consent vs. two-party consent). If consent is refused or required but not obtained, the audio is not stored, but the call summary and appointment data are still retained.
Administrators and designated compliance staff can access call recordings and playback them from the MedReception portal. Kareo integration doesn't expose audio directly in the EMR, but your Kareo users can see a link to the call in the appointment record.
You control the retention policy. Most practices keep 12–36 months of call data for compliance and medical-legal purposes. MedReception can auto-delete after your configured period to minimize storage liability.
You can export the call recording and structured summary as part of a patient's medical records request (HIPAA Right of Access). The process is standard—your office generates the export from MedReception and sends it to the patient.
