Kareo Triage

AI receptionist routes calls by urgency, availability, and department—then escalates or transfers to Kareo staff

Not every call needs a receptionist, and not every urgent call should go to voicemail. MedReception's AI routes calls intelligently: scheduling to the AI, urgent to clinical staff, routine to appropriate team member—all with Kareo context.

How it pays back

Right Call to Right Person First Time

Appointment requests handled by AI and booked to Kareo. Prescription refills routed to pharmacy. Urgent calls reach clinical staff with context. No more transferring callers around or losing details in transfers.

Kareo-Aware Routing

The AI pulls your Kareo schedule, knows which providers are available, sees patient visit history, and allergies. It routes based on clinical context, not just availability. Transfers are smarter and more efficient.

Faster Resolution, Fewer Callbacks

When a call transfers, your staff receives a summary of what the patient already said. No re-asking, no lost information. Callers spend less time on hold; staff resolve issues faster.

Reduced Front-Desk Interruptions

Your front desk is no longer the first stop for every call. Urgent calls go directly to clinical staff. Scheduling requests go to the AI. Refills go to pharmacy. Front desk focuses on in-person patients and pre-arrival prep.

Frequently asked questions

Can the AI route calls based on provider specialty or insurance?

Yes. You can configure routing rules in the MedReception admin panel. The AI can route based on chief complaint, provider availability, insurance type, or any custom field you define. Rules sync with your Kareo data.

What if a call arrives marked 'urgent' but the patient is not a Kareo patient yet?

The AI will escalate to on-call staff regardless. On-call staff receives the call with the intake summary the AI captured. They can create a new patient in Kareo during or after the call, and the interaction logs to the patient's chart.

How does the transferred call get the patient summary?

Your staff receive a pop-up or SMS with the call summary before or as the transfer goes through. Alternatively, the summary can be logged as a structured note in Kareo's patient record so staff see it when they answer.

Can I set different routing rules for different times of day?

Yes. You can define time-based rules: during peak hours, route scheduling to AI; after hours, route all calls to escalation. Rules are set in the MedReception dashboard and can be updated anytime.

What if a transferred call drops or the patient hangs up?

MedReception logs the transfer attempt, duration, and outcome in Kareo. If the call dropped, your team can see it and proactively call the patient back. Reduces patients feeling ignored.
