Medspa Coverage

Decide the hour the AI picks up, the hour your team takes it back, and what happens on a holiday

After-hours coverage is a schedule before it is anything else. Configure the switchover time, weekend and holiday behaviour, and which calls the AI also takes while your medspa is open.

How it pays back

The Switchover Is a Decision, Not a Default

The gap between your last appointment and the moment coverage starts is where calls quietly fall. Picking the hour deliberately, rather than accepting whatever the phone system was already doing, is the single configuration choice that determines how many calls the window actually catches.

A Holiday Is Just Another Rule

Coverage that depends on somebody remembering to forward the phones fails on exactly the days with the least staff around to remember. Weekends and holidays being part of the same schedule means the behaviour on a public holiday is something you decided in advance rather than discovered afterwards.

Business Hours Are Part of the Same Configuration

The window does not have to be all-or-nothing. Routine appointment inquiries can route to the AI during the day while complex questions go to staff, or the AI can be reserved for after-hours only. Which calls belong to which is a setting, not a limitation.

The Calendar Does Not Wait for Morning

An appointment booked at 10 PM is added to your live calendar immediately. Staff see it when they log in and the patient already has a confirmation, so there is no window in which the booking exists only inside a message.

Every Window Leaves a Reviewable Record

All calls inside the window are recorded, transcribed, and available in your dashboard. If you change the switchover time, you can look at what actually came in during the hours you added or removed rather than guessing at the effect.

Frequently asked questions

What time does after-hours coverage start?

Whatever time you configure. Practices commonly set it to 5 PM, 6 PM, or whenever the office closes, and coverage then continues through the following morning.

When does the AI hand calls back to staff?

At the time you set, or when your first staff member logs in, whichever model you prefer. The handback is configured in the same place as the start time so the two cannot drift out of alignment.

How are weekends and holidays handled?

They are part of the same schedule rather than a separate arrangement, which means coverage continues through them without anybody forwarding a line. Holiday behaviour is decided when the window is configured.

Can I pick which calls go to the AI and which go to staff during business hours?

Yes. Routine appointment inquiries can be routed to the AI during business hours with complex questions escalated to staff, or you can use the AI for after-hours only. The split is configurable.

Do bookings taken inside the window sync to my calendar right away?

Yes. An appointment booked after hours is added to your live calendar immediately, morning staff see it when they log in, and the patient receives a confirmation at the time of booking.

Can the window be changed later?

Yes, it is configuration rather than a fixed install. Practices commonly adjust the start time after seeing what the first few weeks of call records show about when calls actually arrive.
