Patient Intake

Kareo practices collect intake data on every call — AI asks questions, staff review structured summaries before appointment

Replace paper intake forms and check-in delays. AI asks configured intake questions during appointment booking calls, captures structured responses, and returns a summary for staff to verify and file into Kareo.

How it pays back

No Paper Forms, No Waiting Room Re-Entry

Intake happens during the call, not at check-in. Patient arrives with their information already captured. Front desk does not re-ask questions or hand out forms. Patients go straight to the clinical area.

Structured, Pasteable Data

AI captures responses in a structured format — not free-form dictation. Your staff receives a clean summary organized by question, which they review and paste or import into the Kareo patient chart. No transcription guesswork.

Clinical Team Starts Informed

Your clinician sees the intake summary with medical history, current medications, allergy alerts, and chief complaint before the patient sits down. They can start the visit on time, ready to address the patient's needs.

Consistent Baseline Data

Every patient answers the same questions in the same way. No variable intake, no missing allergies, no gaps in medication history. Baseline data quality improves across your patient population.

Frequently asked questions

What kind of intake questions can the AI ask?

The AI can ask any question your practice uses: current medications, allergies, previous surgeries, symptom duration and severity, family history, recent travel, vaccination status, and more. Your Kareo admin configures the question set by specialty, appointment type, or patient demographic.

How does the patient know what to say if they don't understand a question?

The AI is trained to clarify and rephrase. If a patient says 'I don't know' or seems confused, the AI explains the question in simpler terms. If the patient truly cannot answer, the AI notes that and moves on.

What if a patient provides an answer that doesn't make sense?

The AI flags inconsistencies in its summary (e.g., 'Patient reports taking a medication that was discontinued in 2015'). Your staff reviews the flag, contacts the patient if needed to clarify, and documents the correct information in Kareo.

Does the intake summary go directly into the Kareo chart?

No. The intake summary is returned to your staff as a structured summary. Your team reviews it for accuracy, flags any concerns, and then documents it into the Kareo chart according to your clinical workflow. Staff retain control and accountability for what goes into the official patient record.

Can the AI ask follow-up questions based on patient answers?

Yes. The AI can be configured to ask conditional follow-ups. For example, if a patient reports severe headache, the AI can ask about duration, recent head injury, or fever. Your practice defines the logic.

What if a patient refuses to answer intake questions on the phone?

The AI notes which questions were skipped. Those items still appear in the summary as 'Not provided' so staff know a gap exists. Patient can complete intake at check-in or during the visit.
