After-Hours

Your practice is unreachable for about an hour every single day, and it is not the night shift

Nights and weekends get planned for. The lunch hour, the Friday staff meeting, the day after a holiday, and the twenty minutes the whole desk is at check-in do not. How Kareo practices cover the closed periods inside the working week.

How it pays back

The midday hour is the one nobody defends

Most practices have an after-hours answer of some kind and nothing at all for the lunch hour, the team meeting, or the stretch where both desk staff are handling check-in. Those periods are inside the working day, which is exactly when patients call.

A closure stops generating a callback list

Every call that goes unanswered during a closed period becomes work later: a voicemail to play, a number to ring, a patient who has moved on. Handling the call while it is live is the difference between an appointment and a task.

Holidays stop being a two-day recovery

Closures around holidays produce a backlog that takes days to clear, and the practice is least staffed exactly when it arrives. Configuring the closure in advance means the calls are answered and the schedule fills through it.

Everything lands in one place regardless of hour

Calls are timestamped and flagged by when they came in, so a lunchtime call, an overnight call, and a holiday call are all in the same reviewable list rather than in three different places.

Frequently asked questions

How is a lunch closure different from after hours?

Only in how you configure it. Your hours define when calls are answered on your behalf, and a midday block is set the same way an overnight one is. Practices often start with lunch because the volume is high and the gap is visible.

What about a day we close unexpectedly?

Hours can be overridden, so a snow day, a systems outage, or an early close can be covered without waiting for a configuration change. The same applies in reverse when the office runs late.

Do calls during a closure still get booked into Kareo?

Yes. Appointments booked during any covered period write to your Kareo calendar and appear when staff return.

How do we tell which calls came in while we were closed?

Calls are timestamped and flagged by whether they came in during a covered period, so your team can review the closure window first thing rather than searching the whole day.

What happens to an urgent call at 12:30?

It follows the same escalation rules as any other hour. Emergency situations receive the emergency instruction your protocol specifies and, where your practice has one configured, the call is routed to the on-call provider or nurse line.

Can staff take calls again as soon as they are back?

Yes. Coverage follows your configured hours, so answering hands back to the desk at whatever time you set, and can be overridden on a given day.
