IVR Replacement

Why practices replace phone trees with natural language AI receptionists

Phone trees frustrate callers and drive abandonment. Natural language AI answers and routes calls the way patients expect, like talking to a real person.

How it pays back

End the menu maze

Instead of 'Press 1 for appointments, Press 2 for billing,' callers simply say what they need. The AI understands appointment requests, billing questions, urgent concerns and referral inquiries without forced branching.

Capture calls IVR abandoned

Callers who give up on phone trees and hang up now reach your practice. The conversation happens naturally, the intake happens seamlessly, and the booking flows to your staff.

Smarter triage

Natural language AI listens for clinical urgency, caller intent and practice workflow. It routes appropriately, same-day urgent to clinical, new patient requests to front desk, and billing to the right team, without requiring callers to navigate menus.

Staff focus on care, not call sorting

Your team no longer manages a phone tree or fields misdirected calls. They receive structured intake summaries and routing decisions already made by the AI.

Frequently asked questions

How is natural language AI different from an IVR?

An IVR (interactive voice response) system forces callers to follow a rigid menu tree, press 1, 2, 3. Natural language AI listens to what the caller says, understands their intent, and responds conversationally. A caller says 'I need an appointment next week' and the AI books it; on an IVR, they would press buttons and still end up on hold.

Will callers get frustrated if the AI misunderstands?

The AI is trained to ask clarifying questions when needed, just like a real receptionist would. If a caller's intent isn't clear, the AI asks: 'Are you calling to schedule an appointment or to ask a billing question?' Callers appreciate the natural back-and-forth and rarely experience confusion.

How does the AI know which calls are urgent?

The AI listens for clinical language and caller tone. Chest pain, severe injury, suicidal thoughts, these trigger immediate escalation to your staff. Non-urgent booking requests and admin questions are handled by the AI end-to-end.

What happens if the AI can't help?

The AI transfers the call to your staff with a structured summary, caller name, reason for calling, any relevant details, so your team can pick up immediately without repeating intake. For booking requests it couldn't close, staff see exactly what was discussed and complete the appointment.

Do we have to replace our entire phone system?

No. MedReception integrates with your existing phone system and EMR. Your practice phone number stays the same. Calls ring through to the AI first; staff still receive calls and voicemail as usual, and booking requests flow directly into your calendar.

What about HIPAA and patient privacy with an AI handling calls?

MedReception is HIPAA compliant, verified by Compliancy Group, with a BAA included. All calls are encrypted and handled securely. Patient information captured on the call is returned to your staff as a structured summary; nothing is stored or used outside your practice.
