Hint Health

Queue patient calls for callback instead of voicemail when all lines are full

When your Hint Health practice is at capacity, the AI offers patients a high-priority callback queue instead of voicemail. Patients are called back in order by an available staff member within hours, not days.

How it pays back

Eliminate voicemail abandonment

Patients who reach voicemail often don't get called back for hours or days. Callback queue guarantees a return call within your staffing window—urgent calls first, routine calls by end of day.

Manage volume without losing calls

If your practice gets a surge of calls, the AI queues them instead of dropping them or letting them ring into voicemail. Every call is tracked and returned.

Reduce missed callbacks

Callback queue sends SMS reminders to patients before your staff calls back, so patients are ready and pick up. No more 'I missed your call' loops.

Hint Health-aware staffing

Callback availability is synced with provider schedules in Hint Health. You don't promise callbacks at times your team won't be available.

Callback queue priority-sorted

Urgent calls returned first; routine by end of day

No voicemail dead ends

Every queued call gets a return call, not a voicemail-to-voicemail loop

SMS reminder before callback

Patients notified before staff calls; reduces missed callbacks

Callback promises match provider availability and staffing

Frequently asked questions

When does the callback queue activate?

The AI offers callback queue when all of your configured incoming lines are occupied. Instead of sending the caller to voicemail, the AI says 'Your call is important. Would you like me to add you to our callback queue?' If yes, the caller is queued. If no, the call goes to voicemail as a backup.

How long does it take to get called back?

Urgent calls (chest pain, severe symptoms) are prioritized and returned within your configured urgent window. Routine calls are returned within the same business day, usually within a few hours depending on your staffing and queue length. Expected callback time is given to the patient when they join the queue.

How does the AI know when to offer callback vs. voicemail?

You configure the threshold: e.g., 'If more than 2 lines are busy, offer callback queue.' The AI monitors your incoming line load in real time. When the threshold is crossed, the callback option is offered to new callers.

What if a patient joins the callback queue and then calls back?

The AI recognizes the repeat caller and can either add them to the queue again or offer to escalate them to staff. You can configure the behavior: some practices re-queue if the reason is the same; others escalate immediately on repeat calls.

Is the callback queue linked to Hint Health?

Yes. Callback queue entries are logged with the patient's Hint Health ID, so when staff returns the call, they have the patient's record, prior reason for calling, and any notes from the AI. This reduces repetition and speeds up resolution.
