Implementation

Technical and operational checklist for implementing voice AI at your medical practice

Not every practice has the same tech stack or call workflows. Learn what EMR integrations matter, how phone systems connect, and what setup steps your practice needs before go-live.

How it pays back

Choose the deployment model that fits your existing tech

Whether you use AdvancedMD, athenahealth, Tebra, Epic, or another EHR, there's a voice AI deployment path. Some practices integrate directly with their EMR; others route through an existing phone platform. You don't have to rip and replace—you add AI to your current stack. MedReception AI is custom-built per client, not plug-and-play, so your setup reflects your actual workflows and tech choices.

Customize call flows without developer work

Your practice's call workflows are unique: some offices route all new patient calls to intake, others go to scheduling, others split by chief complaint. AI can be configured to your exact workflow through a setup interview. No custom coding required; configuration is done by the implementation team.

Run parallel systems during transition

You don't have to go live with AI on day one. Most implementations run both the old phone system and AI in parallel for 2-4 weeks. Staff and patients adjust to the new workflow while you verify appointment accuracy, triage logic, and EMR sync. This reduces cutover risk and builds confidence.

Minimize disruption and staff learning curve

Staff don't learn a new system—they learn a new workflow. Instead of answering calls and entering data, they review AI-captured intake summaries and approve bookings. Onboarding happens in a few hours, not weeks. Your existing phone line and EMR stay in place.

Frequently asked questions

Does voice AI work with my EMR?

If your EMR is athenahealth, eClinicalWorks, Epic, Elation, Cerbo, Hint, Tebra, AdvancedMD, or ModMed, yes—we have named integrations. Typical integration timelines: athenahealth and eClinicalWorks 1–3 weeks; others 3–6 weeks. If you use a smaller or regional EHR, check with the implementation team. Even if your EMR isn't directly integrated, voice AI can work alongside your system or use a manual upload workflow, and you maintain portability if you switch EMRs later.

Do I need a new phone line for voice AI?

No. You can dedicate an existing line to AI, add a new number and have calls split between AI and staff, or integrate voice AI into your current phone system. Most small to mid-size practices dedicate one line; larger practices integrate AI into their main phone routing. Your implementation team will recommend the best fit.

How do I set up after-hours and on-call routing?

You configure your business hours (9-5 Mon-Fri, or whatever your schedule is). After hours, calls route to voicemail, an on-call provider, or an answering service—your choice. For urgent calls, you set up an escalation path: after 2 rings if no staff, route to on-call. For non-urgent after-hours, AI can capture details and schedule a callback. Configuration happens during setup.

Can I test voice AI before fully committing?

Yes. Most implementations include a 2-4 week parallel testing period. Your existing phone system stays live; voice AI handles a portion of calls (or all calls to a test number). Staff uses AI-captured intake summaries but your primary workflow stays the same. Once you and your team are confident, you cut over fully. If needed, rollback is quick.

What kind of training does my staff need?

Most offices need 1-2 hours of training. Staff learn to: (1) review AI-captured patient intake summaries, (2) approve or edit appointment bookings, (3) handle edge cases when AI escalates to them. Your team doesn't learn new software—they learn a new workflow. Implementation includes a training session and ongoing support for questions.

What happens to my existing phone number?

Your existing number stays active. You can keep it exactly as is, route it through AI, or split traffic between AI and staff. No change required. If you want to advertise a new number for AI-first booking, you can set that up, but your current number won't be disrupted.
