Intelligently route inbound calls through RingCentral with an AI receptionist

AI answers every RingCentral inbound call, identifies the need, and routes to the right clinician, department, or callback queue without staff involvement.

How it pays back

No more wrong transfers

Callers don't navigate a phone tree or wait while staff figures out who to transfer them to. AI understands the need and routes directly.

Urgent calls jump the queue

Chest pain, severe injury, or mental health crisis triggers immediate escalation through RingCentral to an available clinician or on-call provider.

RingCentral extension routing stays intact

Your team's extensions, call forwarding, and ring groups continue to work. AI is a smart layer on top that reduces transfers and misdirects.

Staff gets caller context before the phone rings

When the call lands on staff, they see why the caller is calling, what the AI already captured, and whether the patient is already in your system.

Frequently asked questions

How does the AI decide which extension to route to?

During setup, you define routing rules based on caller need. For example: appointment requests go to extension 201, billing questions go to 301, urgent medical needs go to the on-call provider. The AI follows these rules and picks the right extension.

What if all lines are busy on the extension the caller needs?

The AI can queue the caller for a callback, transfer to a different extension, or escalate to on-call. You configure the fallback priority before launch.

Does this work with RingCentral's call recording?

Yes. All calls routed through the AI are recorded and stored in RingCentral, just as if your staff answered the main line. Full compliance with your call retention policy.

Can the AI transfer urgent calls outside business hours?

Yes. If an urgent call arrives after hours, the AI can page the on-call provider through RingCentral, send a text alert, or transfer to an answering service. You configure the after-hours escalation path.

What about callers who are already patients?

The AI can look up the patient by phone number or name in your EHR and retrieve recent visit history, medication list, or flags. This context is passed to staff before the call is routed.

Can my staff override the AI routing?

Yes. If staff receives a call that should have gone elsewhere, they can transfer back to the AI to re-route, or manually transfer to the right extension.
