Data & Documentation

Convert unstructured phone intake into cleanly formatted, EMR-ready summaries your staff can file in seconds

AI receptionists capture patient information during the booking call and return it as a structured summary—demographics auto-sync to the EMR, clinical data is formatted as a pasteable summary for easy staff review and filing.

How it pays back

Chart-ready documentation

Structured summary is formatted for immediate review and filing into the patient record. Your staff doesn't interpret voicemails, re-type details, or reconstruct patient history—it's all organized and ready to review and file.

Reduced clinical documentation time

Your clinical staff no longer spend time extracting information from voicemails, emails, or scattered notes. The intake summary is pre-organized, so review and filing takes seconds.

Fewer charting errors

Structured data eliminates transcription mistakes, illegible handwriting, and missed details that occur when staff manually enter information from voicemails or incomplete forms.

Better clinical continuity

Complete, organized intake data in the chart before the appointment means providers can review patient history quickly and spend more time on clinical care.

Frequently asked questions

How does the AI's structured summary differ from a voicemail transcription?

A voicemail transcription is a raw, word-for-word conversion of speech—often with errors, unclear abbreviations, and rambling. A structured summary organizes the same information by category (demographics, chief complaint, symptoms, etc.), confirms details, and presents it in a format your staff can review and file immediately into the EMR.

Can the structured summary be imported directly into my EMR?

It depends on your EMR. Some allow structured data import via API (which we support for named systems including athenahealth, eClinicalWorks, Epic, Elation, Cerbo, Hint, Tebra, AdvancedMD, and ModMed). For others, your staff reviews the structured summary text and files it into a document or custom field in the chart. Both methods are faster than manual entry from a voicemail.

What if the patient's answer to a question is unclear or incomplete in the structured summary?

Your staff reviews the summary before filing. If a response is unclear or incomplete, they can add a note, flag it for the provider to clarify at the appointment, or contact the patient—just as they would with any intake form.

Does the structured summary include everything from my custom intake questions?

Yes. Whatever questions you provide—allergy history, medication list, prior surgeries, pain levels, symptom timeline—the AI asks them and includes the responses in the structured summary, organized by category.

Can I see an example of what the structured summary looks like?

Yes. It typically looks like: DEMOGRAPHICS | Name: [name], DOB: [date], Phone: [number], Address: [address]—CHIEF COMPLAINT: [description]—SYMPTOM TIMELINE: [details]—MEDICATIONS: [list]—ALLERGIES: [list]—INSURANCE: [carrier, group, member ID]—EMERGENCY CONTACT: [name, phone]. Your staff reviews this and files it into the chart.

How long does it take staff to review and file the structured summary?

Most summaries can be reviewed and filed efficiently. Since the data is already organized and formatted, there's no need to search through voicemails, email, or notes—staff simply scan the summary and confirm it matches the chart.
