ModMed Workflows

Structured new patient intake on the phone saves ModMed front desk hours and improves first-visit efficiency

ModMed practices deploy AI reception to conduct phone intake calls during business hours—capturing chief complaint, insurance, and medical history. Information returns as a chart-ready summary for staff review and filing.

How it pays back

Front desk skips intake phone calls

Instead of tying up a staff member on a 10-minute intake call, the AI conducts the call in parallel with other work. Staff receive a structured summary, verify accuracy, and file—no re-asking for information.

Providers see patient history before the appointment

Chief complaint, medical history, and current medications are already in the chart summary. The provider doesn't discover allergies or medication interactions during the visit—they prepare.

Insurance verified before check-in

Photos of insurance cards are captured during the call and uploaded to the patient portal for your billing team to verify. By the time the patient arrives, you know coverage and co-pay.

Structured intake captured on every new patient call

Chief complaint, history, medications, allergies, insurance info

Chart-ready summaries for staff review

Clinical data returned as EMR-pasteable text, not raw voice

Insurance details managed separately

Photos and policy info routed to staff—not auto-synced to avoid compliance gaps

Frequently asked questions

Does the AI intake replace a paper form or my online portal form?

It complements both. A new patient calling to schedule can be offered the option to complete intake by phone (via AI) or online (via your portal). Either way, the structured data lands in your staff inbox. For urgent calls, phone intake is faster.

How does insurance capture work? Is it stored in ModMed?

The AI requests a photo of the insurance card during the call. The image is uploaded to a secure patient portal and flagged for your billing team to verify and file. Insurance policy details do not auto-sync to ModMed—your team reviews and enters them to ensure accuracy and compliance.

What if a new patient has a complex medical history?

The AI captures as much detail as possible in a natural conversation. The structured summary is returned to your provider with verbatim notes. Your provider or clinician can review the call recording or reach out to the patient before the visit if clarification is needed.

Can the AI ask about prior authorizations during intake?

Yes. The AI can ask if the patient knows whether their insurance requires prior authorization for the procedure or specialty. The answer is captured in the summary. Your team then handles the actual prior-auth request based on what was documented.
