ModMed Security
ModMed practices using AI reception benefit from built-in call logging, encrypted recording storage, and audit trails. All PHI is retained per your data retention policy, and integrations respect HIPAA segmentation.
When a patient disputes what was promised or when a clinician needs to verify what was said on the phone, the call recording and transcript are time-stamped, linked to the chart, and searchable. No he-said-she-said.
You set your retention policy once (e.g., keep calls for 3 years). The system enforces it—old calls are securely deleted without staff intervention. No accidental data hoarding, no compliance gaps.
Because only appointment and demographic data is written to ModMed, clinical details—insurance info, photo IDs, sensitive history, allergies, medications, symptoms, and chief complaints—are captured on the call or uploaded in the patient portal and returned as a structured, EMR-pasteable summary for staff to review and file. They never auto-sync to the EHR.

System is BAA-signed and PHI-aware by design
Segmented EMR writes
Only safe data (appointment, demographics) written to ModMed; clinical summaries reviewed by staff
Call recordings are stored in a secure, HIPAA-compliant vault managed by the AI platform. The ModMed EHR receives a link or note reference, not the raw audio. This keeps your EHR lean and ensures call data is backed up separately.
Yes. Patients can submit a formal request for access to recordings of their own calls. Your team processes the request per your privacy notice and applicable state law. The system flags these requests for compliance tracking.
The AI does not redact or suppress calls. All calls are logged in full. However, your staff can flag calls as containing sensitive information, which triggers heightened access controls and audit logging. Only authorized staff can access flagged recordings.
Yes. State law varies, but most require notification. You should disclose in your privacy notice, IVR greeting, or intake form that calls may be recorded for quality and compliance. Your legal team should review your disclosure language.
