ModMed Integration

PHI captured on ModMed calls stays encrypted, audited, and compliant—from call to chart

MedReception AI handles ModMed practice calls with HIPAA safeguards built in. Patient demographics and appointment data sync to ModMed; clinical summaries, insurance details, and call recordings are encrypted, audited, and retained per your policy. No data leaves your ModMed environment.

How it pays back

No HIPAA compliance gaps between phone and chart

MedReception and ModMed are both HIPAA-covered. Appointment and demographic data move securely between them. Clinical summaries and insurance details are captured on the call and returned as structured, EMR-pasteable summaries for your staff to review and file. No unsecured email, no unencrypted text, no voicemail orphans. Your audit trail is complete.

Insurance and payment data stays in your ModMed environment

Insurance details, credit card info, and payment history captured during calls are returned as a summary for your staff to enter into ModMed. MedReception does not store payment data. Your PCI compliance stays intact.

Call recording retention is under your control

You decide how long call recordings and AI summaries are kept. MedReception deletes them per your schedule. No accidental archival of sensitive conversations.

Audit readiness for regulators and liability

Every call logged. Every data access timestamped. Every chart event tracked. If a regulator asks or a patient disputes what happened, you have a complete audit trail in ModMed.

Staff access to ModMed data is controlled

Your ModMed staff access rules apply to all data, including AI-captured summaries. Only authorized staff see patient records. MedReception respects your role-based permissions.

Frequently asked questions

Is MedReception a HIPAA Business Associate?

Yes. MedReception executes a HIPAA Business Associate Agreement (BAA) with your practice. This establishes our legal obligation to protect PHI and outlines breach notification procedures.

Where are call recordings and summaries stored?

Call data is stored on HIPAA-compliant servers in the United States with encryption at rest. You can set a retention policy (e.g., delete after 30 days, 1 year, etc.), and MedReception auto-deletes after the period expires.

Can patients request access to their call recordings or summaries?

Yes. If a patient requests a copy of their call under HIPAA right-to-access rules, your ModMed team can pull the summary from the chart and provide it. MedReception can also provide the call recording directly to the practice for distribution.

What happens if there's a data breach or security incident?

MedReception notifies your practice within 24 hours of discovering any unauthorized access or data loss. Your team then follows your breach response plan (usually risk assessment, notification of affected patients, and regulator notification if required).

Are call recordings analyzed or used to train AI models?

No. MedReception calls are never shared with third parties, used to train other customers' AI, or sold. Calls and summaries are your proprietary practice data, protected under the BAA.
