System Strategy

Move from IVR phone trees and voicemail to live-voice AI intake for migraine practices

Eliminate IVR menus, voicemail bouncebacks, and third-party answering services. Replace them with AI that answers every migraine call, captures structured intake, and routes urgent cases instantly.

How it pays back

Better patient experience than your current system

Migraine patients reach a live voice, not a robotic IVR or a generic answering service. They're heard, their needs are captured, and they're scheduled—often within the same call.

Lower cost than third-party answering services

No monthly per-minute fees, no variable staffing costs, no hand-offs to external reps who don't know your practice. AI reception is billed per month, flat rate.

All patient data stays in your hands

No third-party voicemail boxes or call recordings stored externally. Every call, every patient detail, and every escalation lives in your EMR and secure servers.

Clinical escalation built in

Your old IVR routes callers to a general queue or voicemail. AI reception recognizes urgent migraine symptoms and escalates to your on-call provider instantly.

Every call answered

Live voice replaces IVR menus, hold queues, and voicemail

Urgent calls escalated

Acute migraine cases routed directly to your on-call provider

HIPAA-aware by design

All calls encrypted and compliant; no data handed to third-party services

Appointments and patient demographics sync to your system

Frequently asked questions

How is this different from our current IVR system?

IVR requires callers to press buttons to navigate menus, often routing them to voicemail or hold queues. AI reception is conversational—callers speak naturally, and the AI understands context. If a migraine patient mentions severe symptoms, they're escalated immediately instead of sent to voicemail.

Can we keep our current phone number?

Yes. Your phone number stays the same. We update the routing to point calls to the AI reception system. Existing referral sources and patient contacts don't change.

What about our after-hours answering service contract?

You can transition away from it entirely. AI reception answers after-hours calls with the same quality and escalation logic as daytime calls. Many practices cancel third-party services after going live with AI.

How long does it take to migrate to AI reception?

Implementation typically takes 2–4 weeks from contract to go-live. We configure your appointment types, provider schedules, escalation rules, and EMR integration. You test the system, we refine it, and then we flip the switch.

What if we need to go back to our old system?

You can roll back during the transition period. After go-live, we monitor call quality and success rates. Most practices find the AI system works better and have no reason to revert.
