Patient Experience

AI confirms appointments the day before or morning-of, captures patient location, and sends automated reminders to reduce no-shows

Reach out to patients automatically before their appointment. AI confirms attendance, cancels, or reschedules on the call and sends text or email reminders. Lower no-show rates, fill cancellations faster.

How it pays back

Fewer no-shows mean more revenue per day

An open chair generates no revenue. Confirming appointments before the day of gives you time to fill cancellations from your waitlist or same-day requests. Every confirmed visit stays filled.

Discover barriers before patients miss care

During confirmation, the AI asks if the patient can attend. If they say no, you learn why: transportation, cost, work conflict. You can then offer rescheduling, virtual visit, or care coordination support—before they just don't show up.

Patients appreciate the reminder

Many no-shows are honest forgetfulness, not indifference. A friendly confirmation and morning reminder reduce missed visits and improve patient experience. Patients feel cared for, not just scheduled.

No staff time spent on manual confirmation calls

Automating confirmations frees your front desk from making dozens of calls each day. Your team focuses on intake and complex scheduling instead of dialing patients.

Frequently asked questions

How far in advance should I confirm appointments?

This is configurable. Typically, we send confirmation 24 hours before the appointment and a reminder text or email the morning-of or a few hours before. For specialty procedures or high-risk populations, you might confirm 2–3 days in advance.

What if the patient says they can't make it during the confirmation call?

The AI logs the cancellation reason and flags it in your system for your staff. You can then contact the patient to reschedule, offer a virtual visit, or provide support. The cancellation is immediately available to your waitlist team to fill the slot.

Can I customize what the AI says during confirmation?

Yes. We work with you to craft the confirmation message to match your practice voice. You can include details like provider name, visit type, and specific instructions (arrive early, bring insurance card, etc.).

Does the AI send text or email reminders?

Both. You choose the reminder modality per patient. Some practices prefer text (higher open rate) and email (patient preference documentation). The AI can send both or one or the other based on patient consent and your workflow.

What if the patient doesn't answer the confirmation call?

The AI leaves a voicemail or sends a text/email reminder. If the patient doesn't confirm, your team can follow up manually. You set thresholds for which confirmations need human follow-up vs. which can proceed on the day of.
