Workflow

One AI receptionist covering all your Mesa clinic locations and after-hours lines

Multi-site practices in Mesa can route all incoming calls—from every location—to a single AI receptionist, which handles triage and scheduling across all calendars.

How it pays back

One system, all locations

No need for separate phone systems or receptionists at each site. Centralized AI handles intake, triage, and scheduling across all your Mesa clinics. Reduces hardware cost and training overhead.

Intelligent location routing

Patient calls the main line and says which location they prefer or where they were referred. AI confirms availability at that location and books. No confusion; no transferred calls.

Unified after-hours on-call

A single on-call provider covers all locations after hours. Urgent calls from any site route to that provider's cell. Routine callers are queued for the next business day.

Reduced per-site staffing

Each location needs fewer front desk staff to handle calls; the AI absorbs call volume and scheduling overhead. Staff focus on patient care and billing.

Frequently asked questions

How does the AI know which location a caller wants?

You can set the AI to ask: 'Which location would you like to visit?' or 'Where were you referred?' Alternatively, you can give each location its own direct number; the AI routes that number to the right calendar and staff team.

What if each location has a different EMR?

The AI can work alongside multiple instances of the same EMR (e.g., two AdvancedMD practices) or different EMRs from our integration list (e.g., one location uses eClinicalWorks, another uses Epic). Appointment bookings and patient demographics are created in the correct EMR based on the location selected; intake summaries are captured and returned for staff review.

Can the AI manage different after-hours rules for each location?

Yes. You can set unique triage rules per location. For example, North Mesa urgent calls go to Dr. Smith's cell; South Mesa urgent calls go to Dr. Jones. The AI handles the logic automatically.

Do I need a separate phone number for each location?

No. You can use one main number and route based on the caller's preference, or assign each location its own number. The AI works either way.
