Seamless AI-to-staff call handoff for Mesa medical clinics

When an AI receptionist passes a call to your staff, full context travels with it. No patient confusion, no repeated information, no dropped calls.

How it pays back

Staff hear the full story before picking up

When a call transfers, staff already know the caller's name, what they need, and why they called. No 'hold on while I find your chart' delays.

Urgent calls jump the queue

Calls involving chest pain, severe symptoms, or emergency language are flagged and transferred immediately. Routine calls are queued in order.

No frustration from repeated explanations

Patients don't have to repeat their problem to multiple people. The AI captured it; staff have it ready.

Reduces call abandonment and hold time

Faster, context-rich handoffs mean staff pick up sooner and resolve issues faster. Callers stay on the line.

Integrates with your Mesa office phone system

Works with your existing PBX, desk phones, and softphone setup. No new hardware or phone number needed.

Structured call context

Caller name, reason for visit, urgency, and appointment status passed to staff automatically

No repeated information

Patient tells the story once; staff have it ready before answering

Urgent escalation

Emergency symptoms and urgent language trigger immediate staff notification

Staff in control

Intercept any call at any time; AI never forces a handoff

Frequently asked questions

How does the AI know which staff member should receive a call?

You define routing rules during setup. Calls can be routed by appointment availability, provider preference, department (e.g., 'new patient intake' to the intake coordinator), or urgency (emergencies to any available staff). Staff also have the option to accept or reject calls in real time.

What if staff are all on patient calls and no one is available?

The AI can queue the call, offer to schedule a callback, or—if it's urgent—continue trying available staff. You choose the fallback workflow. For truly critical emergencies, the AI can recommend dialing 911.

Does the handoff work if staff are working remotely in Mesa?

Yes. As long as staff have access to the practice's phone system (VoIP, desk phone, or softphone), the AI can transfer calls to them. Context is delivered the same way—on screen or in your practice management system.

Can we track which calls were handled by AI vs. which were transferred to staff?

Yes. Every call is logged with disposition (handled by AI, transferred to staff, callback requested, etc.), duration, and outcome. Reports are available in the MedReception dashboard and can be exported for compliance or workflow review.
