Implementation

What your Kareo practice needs to do before the AI receptionist starts taking calls—and why each step matters

Step-by-step guide to integrating AI receptionist with your Kareo account. Includes API access, schedule configuration, routing rules, and team handoff.

How it pays back

No data conflicts during integration

API setup is validated before the AI goes live. Your Kareo data is protected; read-write permissions are scoped to appointments and patient demographics only. Clinical data is captured on the call and returned as a structured summary for your team to review and file.

Real-time schedule works from day one

Your Kareo schedule is the source of truth. The AI reads it live, so availability is accurate the moment you enable the AI. No manual updates to the AI separately.

Urgent calls routed correctly immediately

Urgency protocols are defined in advance. Your team tests the routing with low-volume traffic before full deployment, ensuring the right calls reach the right people.

Staff know their new workflow

Training covers how to review AI-captured summaries, validate insurance, and file clinical notes. Your team is ready to work with the AI on day one.

Your Kareo calendar is the source of truth for availability

Frequently asked questions

What permissions does the AI need in Kareo?

The AI requires read access to your schedule, provider list, and patient database; and write access to appointments and new patient demographics (name, DOB, phone number). Clinical data—medical history, allergies, medications, symptoms, chief complaint—is captured on the call and returned as a structured, EMR-pasteable summary for your team to review and file.

How long does Kareo API integration take?

Typically 1–2 business days. We provide the API credentials and scopes; your Kareo admin confirms and enables them. Once live, test calls verify connectivity before production traffic begins.

What if our Kareo schedule is incomplete or outdated?

The AI reads your Kareo schedule as-is. If schedules are incomplete, the AI cannot book appointments for times that don't exist in Kareo. We recommend auditing and updating your Kareo schedule before go-live to ensure accurate availability.

Can we test the AI before it takes real calls?

Yes. We provide a sandbox environment and test routing with a small batch of non-production calls first. Your team can review captured data, test transfers, and validate urgency routing before enabling full production traffic.

What happens to calls during Kareo maintenance windows?

If Kareo is unavailable, the AI routes calls to your staff or voicemail queue, and new bookings are held pending reconnection. Once Kareo is back online, pending bookings are processed and your team is notified of any calls that occurred during the outage.

Do we need to change anything in our Kareo workflow to use the AI?

Minimal changes. You define call routing rules and urgency protocols, confirm provider schedules, and train your team on reviewing AI-captured summaries. Your existing Kareo workflows for charting, billing, and follow-up remain unchanged.
