Route calls to the right clinic, provider, and suite across multiple locations without staff overhead

Multi-location pain groups face call routing complexity: which location has an open appointment? Which provider is on-call? AI receptionist understands your network, routes intelligently, and books patients at the best location and time.

How it pays back

Smart Location Routing

When a patient calls, the AI asks where they are located and their preferred provider or clinic. The AI checks availability across all your locations' suite calendars and offers the nearest location with the earliest available appointment. No call transfers between locations; booking confirmed during the intake call.

On-Call Network Management

You configure an on-call rotation across all locations. When an urgent post-op or emergency call comes in after hours, the AI routes to the on-call provider for that location or the group's designated backup. Call is escalated without location confusion or missed pages.

Referral Call Centralization

Referral calls (from EDs, urgent care, PCPs) can be routed to the clinic nearest the patient or the clinic with the specialist of choice. If one location is fully booked, the AI offers another location in your network with the same provider or a qualified peer. No referrals turned away; no patient bouncing between receptions.

Unified Call Logs and Reporting

All inbound calls—new patients, referrals, post-op, urgent—are logged in one system accessible by all locations. Your billing team, providers, and administrators see consolidated metrics on referral volume, conversion rate, and suite utilization across the entire network.

Frequently asked questions

How does the AI know which location to route a call to?

You configure routing rules based on patient location, time of day, and provider availability. The AI asks for the patient's zip code or city and checks availability at your nearest location. If that location is fully booked, it offers other locations in the network. Staff can override if needed.

Can the AI book appointments at any location or only a primary one?

The AI can book at any location in your network. However, you can configure preferences—e.g., 'Book at downtown location first, then uptown if full.' The AI follows your rules and offers the best match.

How are on-call calls routed across multiple locations?

You set up an on-call schedule by location (or by provider across locations). When an urgent call comes in, the AI checks the schedule and routes to the on-call provider's phone or pager. If that person is unreachable, the AI tries the backup on-call provider.

Can each location see calls booked at other locations?

Yes. All calls and bookings are logged in the unified MedReception dashboard. Each location can filter by their clinic to see local calls or view the entire network. Your administrators see group-wide analytics.

What if a patient prefers a specific provider at a specific location?

The AI asks for patient preference during intake. If the preferred provider at the preferred location is booked, the AI offers alternatives (same provider at another location, or another qualified provider at the preferred location). Patients can request a callback to confirm.
