Structured Intake and Compliance for Interventional Pain Procedures: Every Clinical Detail Captured, HIPAA-Safe

Interventional pain procedures require detailed intake—pain history, imaging results, prior treatments, allergies, and medications. MedReception captures this systematically, returns it as a structured summary your staff reviews, and maintains HIPAA compliance for all calls.

How it pays back

Consistent Clinical Data

Every caller is asked the same standardized questions about pain history, prior procedures, imaging, and medications. No missed details. Your clinical team receives structured, consistent intake summaries that are ready to review and file into the chart.

Allergy and Contraindication Safety

The AI explicitly asks about medication allergies, contrast allergies, latex sensitivity, and contraindications (pregnancy, pacemakers, etc.). These are flagged prominently so your clinical team can address them before the procedure.

HIPAA Documentation

Every call is encrypted, timestamped, and logged. Your compliance officer can audit who called, what was discussed, and when. All data is retained only as long as your policy requires, then securely deleted.

Staff Efficiency and Accuracy

Your intake staff no longer hand-write notes during or after calls. The AI captures all details, returns them structured and ready to paste into the EMR, and your staff reviews and approves. Transcription errors and illegible notes are eliminated.

Standardized intake questions

Pain history, severity, imaging, prior treatments, medications, and allergies captured consistently on every call

Contraindication screening

Pregnancy, implanted devices, anticoagulation, and contrast allergies identified before appointment confirmation

HIPAA-compliant call handling

All calls encrypted, timestamped, auditable, and retained per your compliance policy

EMR-ready documentation

Structured intake summary ready for staff review and filing; staff review and approval logged for compliance

Frequently asked questions

Does the AI store patient information after the call ends?

The AI stores the call recording and intake summary for the duration specified in your HIPAA retention policy (typically 7 years for medical records). After that period expires, all data is securely deleted. Your compliance officer controls retention settings.

Can we customize the intake questions to match our procedure types?

Yes. The standard questions (pain history, imaging, medications, allergies) are built in. You can add custom questions specific to your procedures (e.g., prior epidural location, current pain medications, workers' comp status). These are configured during implementation.

How is the audit trail maintained for compliance review?

Every call generates a timestamped log entry that includes caller identity, intake responses, and a note of when your staff reviewed and approved the summary. This log is accessible to your compliance officer and can be exported for audits.

What if a patient has a drug allergy but forgets to mention it during the call?

The AI's intake summary is returned to your staff before the appointment is confirmed. Your staff can call the patient back to verify allergies, or the patient can update their information through the MedReception patient portal before the visit. Your staff can then review and file the updated information into the chart.

Is the intake summary encrypted before it's sent to our EMR?

Yes. All data is encrypted in transit and at rest. When the summary is provided to your EMR, it goes through your EMR's secure API. Your EMR then manages that data according to your EMR's security and retention policies.
