Getting Started

Implementing an AI receptionist: onboarding, training, and integration with your EMR and workflows

Step-by-step guide to deploying an AI receptionist, from EMR integration to staff training to going live with 24/7 call coverage.

How it pays back

Turnkey Onboarding

Implementation is handled by the MedReception AI onboarding team. Your EMR is connected, your schedules are imported, your workflows are configured. Most practices go live within 2–4 weeks. Every implementation is custom-built to your practice—not plug-and-play—with a real team supporting you every step.

Minimal Staff Disruption

The AI doesn't replace staff—it augments their capacity. Your team doesn't need to learn a new EMR or change how they document. They simply receive warm transfers and structured intake summaries from the AI, ready to review and file.

Specialty-Specific Configuration

Whether you're a dermatology practice, urgent care clinic, or mental health group, the AI is configured to your specialty's workflows. Triage rules, intake questions, and provider preferences match your clinical protocols.

Gradual Rollout Option

Practices can start with after-hours calls, then expand to business hours. Or start with appointment bookings, then add intake and triage. Full deployment is optional; you control the scope and pace.

Staff Training Included

Your team gets live training on how to work with the AI—how to take warm transfers, how to update schedules, how to escalate non-routine calls. Support is available during and after launch.

Frequently asked questions

What information do you need from us to implement the AI receptionist?

The MedReception AI team will ask for your EMR login (to connect and test integration), your provider schedules, appointment types, intake questions specific to your specialty, call routing preferences, and on-call escalation protocols. Most of this is standard; you'll provide it during an onboarding call.

Can we start with after-hours calls only and expand later?

Yes. Many practices pilot the AI for after-hours and weekend coverage first, then expand to business hours once staff is comfortable. This reduces risk and allows you to see the benefit before full deployment.

What if our EMR isn't on the supported list?

MedReception AI integrates with 9 named EMR systems (athenahealth, eClinicalWorks, Epic, Elation, Cerbo, Hint, Tebra, AdvancedMD, ModMed). If yours isn't listed, contact the team to discuss options. The AI is EMR-independent and portable—you can switch EMRs and keep your AI—so custom workflows are always possible.

Do we need to change our EMR or cancel our current contract?

No. The AI receptionist works alongside your existing EMR. You don't need to switch systems or change vendors. The AI is EMR-independent and portable, so you maintain full control of your practice management software.

How long does training take for our staff?

Initial training is typically 1–2 hours (virtual, with your team). Staff learn how to take warm transfers, update schedules, escalate complex calls, and review AI-generated intake summaries. Ongoing support is available for questions that arise post-launch.

What happens if the AI encounters a call type it's not configured for?

The AI is trained to recognize when a call is outside its scope and either transfers to your staff or collects the caller's information for a staff callback. Your team always has the option to take over a call if needed.
