Multi-Provider Workflows

Intelligent call distribution for multi-provider concierge groups: Route members to their primary provider, distribute urgent calls to on-call rotation, manage shared coverage gaps

Group concierge practices with 3–10 providers need call routing that respects provider relationships. The AI receptionist knows which members see which provider, routes calls accordingly, manages on-call rotations, and fills coverage gaps—so members always reach the right care, and your providers aren't overwhelmed.

How it pays back

Members Feel Cared For by 'Their' Provider

Concierge is built on continuity and relationship. The AI knows each member's primary provider and tries to reach them first. Members hear 'Let me connect you to Dr. Chen,' not 'Please hold for the next available.' If their provider is unavailable, the AI offers a callback time or escalates to the on-call provider.

On-Call Provider Never Overwhelmed

With intelligent call distribution, the on-call provider handles urgent cases and overflow, not a deluge of routine requests. Members calling for routine appointments are offered a booking with their primary provider the next day or a callback from the on-call provider. Call volume is managed, burnout is reduced.

Fair On-Call Rotation

The AI tracks which provider is on-call and distributes urgent calls accordingly. No provider carries an unfair load because they happened to be covering when a busy night occurred. The AI logs all calls so your practice can audit coverage fairly.

Fewer Missed Coverage Opportunities

Group practices often have gaps: a provider is in surgery, another is in clinic, a third is out sick. The AI sees the full schedule and intelligently fills gaps by routing to the on-call provider, offering callbacks, or escalating. Members aren't left hanging; calls are always answered and triaged.

Frequently asked questions

How does the AI know which provider a member sees?

The AI queries the EMR for the patient's assigned or primary provider. When a member calls, the AI retrieves this information and attempts to route to that provider. If the primary provider isn't available, the AI offers callback scheduling or escalates to the on-call provider per your rules.

How is the on-call rotation managed?

You input your on-call schedule into the system (e.g., 'Mon–Wed Dr. Chen on-call, Thu–Sat Dr. Patel on-call'). The AI consults this schedule and routes urgent calls and overflow to the correct provider. The schedule can be updated weekly or in real-time if someone swaps coverage.

What if a member doesn't know which provider they see, or has seen multiple providers?

The AI asks clarifying questions: 'Which provider did you last see?' or 'Do you have a preference?' If the member has no clear primary provider, the AI can offer the next available slot with any provider, or route to the on-call provider. This is rare in concierge but the AI handles it gracefully.

Can the AI handle after-hours calls for a group practice?

Yes. After-hours, all inbound calls go to the on-call provider per your rotation. The AI triages urgency and escalates accordingly. Emergency calls go to the provider immediately or to ER if needed. Routine calls are queued for morning callbacks with the member's primary provider.

What if a provider goes out sick or coverage changes unexpectedly?

You can update the on-call schedule in real-time. If Dr. Chen goes out sick, you reassign her calls to Dr. Patel immediately. The AI's next call will route to the new on-call provider. Your staff can also manually override routing for specific calls if needed.

Are all calls logged for provider visibility?

Yes. Every call is logged with timestamp, routing decision, on-call provider handling the call, urgency level, and outcome (appointment booked, callback scheduled, escalated to ER, etc.). Any provider in your group can review the call log so continuity is maintained regardless of who answers.
