Intake Workflow

Patient calls in, completes intake on the phone, chart is ready for the provider at appointment time.

AI receptionists conduct patient intake during the inbound call, returning structured data so staff can prepare a chart with demographics and chief complaint before the first appointment slot.

How it pays back

Provider sees context before the patient enters the exam room

Chief complaint and symptom details are in the chart. First words aren't 'so what brings you in?' They're 'I see you've been experiencing lower back pain for three weeks.' Saves chair time and improves clinical clarity.

Insurance information captured and ready for verification

Insurance details are captured on the call and returned in the structured summary. Staff have time to review, verify coverage, and note any prior auth requirements before the appointment.

New patients feel prepared, not interrogated

They complete intake in a natural phone conversation while booking. No separate form to fill, no email reminder to 'submit your forms before Tuesday.' Appointment is booked and intake is done.

Staff spend less time on data entry

The intake summary is structured and ready to file. Staff don't transcribe audio or manually key patient details. They review, verify, and file—not create from scratch.

Frequently asked questions

When does the intake data appear in our EMR?

Intake summaries are returned as calls end and made available to staff for review in your EMR inbox or integration portal. Staff then review and file the summary to the patient record.

Can staff modify the intake summary before filing it to the chart?

Yes. Staff review the intake summary in the MedReception portal or your EMR interface. They can edit, add notes, or correct any information before saving it to the patient record. The AI provides a clean draft; staff have final authority.

What if a patient doesn't want to provide insurance information on the call?

The AI respects the patient's preference. It notes that insurance was declined or deferred in the intake summary. Staff can follow up before or at the appointment. The call and booking complete regardless.

Does this work for new patients only, or established patients too?

The AI works for both new and established patients. New patient intake is more detailed. For established patients calling to reschedule or report a new issue, intake captures the current reason for visit and any new information relevant to today's call.

How do we handle patients who prefer online intake forms instead of phone intake?

You set the policy. Some practices use the AI for inbound callers and keep online forms for self-service signups. Others use the AI for all inbound intake and disable online forms. It's your choice based on patient preference and workflow.
