EMR Workflow

How AI receptionists return structured, pasteable intake summaries your staff can file instantly

During inbound calls, the AI captures patient responses to intake questions and returns a clean, structured summary that staff paste into the EMR with one click. No transcription, no manual typing, no data loss.

How it pays back

Summaries are structured for your EMR

Each intake summary is formatted to match your EMR's intake schema. Staff paste it into the chart in seconds, not hours of manual typing.

Nothing is lost in translation

The AI records exactly what the patient said, organized by section (medications, allergies, symptoms, history). No transcription service, no misheard details, no guessing.

Staff can review before filing

Every summary goes to a staff queue first. Your team reviews, confirms accuracy, and adds any clinical notes before attaching to the patient record.

Urgent flags appear at the top

If the intake reveals a critical allergy, medication interaction, or red-flag symptom, it's highlighted and routed to the appropriate clinician immediately.

Works with major EMR platforms

Summaries are formatted as pasteable text for athenahealth, eClinicalWorks, Epic, Elation, Cerbo, Hint, Tebra, AdvancedMD, and ModMed. Staff review and file in your EMR's standard workflow.

Frequently asked questions

What exactly is included in the intake summary?

Name, date of birth, phone, email, insurance provider name, medications (with doses if provided), drug allergies, environmental allergies, chief complaint, symptom details, relevant medical history, prior surgeries, and any clinical flags the patient mentioned during the call.

Can staff edit the summary before it goes into the chart?

Yes. The summary arrives in a staff queue in the MedReception portal. Staff review it for accuracy, add notes or corrections, and then file it to the patient record. The summary is never automatically pushed to the EMR—staff always have a chance to verify.

Does the summary format match our EMR's template?

MedReception's summaries are designed to align with standard intake sections (medications, allergies, chief complaint, history). The summary is formatted as structured text that staff paste into your EMR's intake form, so filing is seamless.

What if the patient gives unclear or conflicting information during the intake call?

The AI flags unclear responses in the summary and may re-ask on the spot. If something is still unclear after the call, the summary includes a note for staff to follow up with the patient before the visit. Nothing ambiguous is filed to the chart without staff review.

How long does it take staff to review and file a summary?

Most summaries take seconds to verify. Staff scan for accuracy, confirm urgency flags are routed, and paste into the chart. For complex cases with multiple conditions or allergies, it might take a minute or two—but still much faster than manual data entry.

Are intake summaries encrypted and HIPAA-compliant?

Yes. All intake data is encrypted in transit and at rest. The MedReception platform is HIPAA-compliant and audit-logged. Staff access is role-based, and all actions are recorded.
