Intake Workflow

Patient demographics sync to your EMR immediately; chart is ready for the appointment

When a new patient calls, the AI captures demographics and creates the patient record in your EMR in real time. Your staff reviews and files clinical detail. Chart is chart-ready before the first appointment.

How it pays back

Chart exists before the appointment

New patients are in your EMR with complete demographics by the time their appointment arrives. Your clinical staff opens the chart and finds name, DOB, phone, address, and insurance already there.

No duplicate records

The AI checks your EMR before creating the patient. If the patient already exists, the call updates the existing record. Your database stays clean.

After-hours new patients ready by morning

A new patient calling after hours completes intake and gets a chart number on the spot. Your morning team finds the chart populated and ready for clinical expansion.

Insurance and ID collected, not lost

Caller provides insurance details on the phone. If they upload ID in the portal, your staff has proof of identity on file. No missing information at check-in.

Real-time EMR creation

New patient records are written to your EMR during the intake call

Demographics sync

Name, DOB, phone, address are written directly to the patient record

Duplicate detection

AI checks existing records before creating; no duplicate patients

Chart-ready by appointment

Clinical staff opens a pre-populated chart and expands with history and clinical notes

Frequently asked questions

How does the AI create a new patient in my EMR?

The AI queries your EMR to confirm the patient doesn't already exist. If the patient is new, it creates a record with the captured demographics (name, DOB, phone, address) and returns a patient ID. Your staff can then search and open the chart to add clinical information.

What if a patient record already exists in my EMR?

The AI detects the existing record and updates it with any new information from the call—new phone number, new address, insurance change. Your staff is notified of the update so they can verify and expand the chart.

Does the new patient record include clinical information?

No. The patient record is created with demographics only (name, DOB, phone, address, insurance provider). Clinical information—allergies, medications, medical history, chief complaint—is returned as a structured summary for your staff to review and file into the chart.

Can the new patient call schedule an appointment on the same call?

Yes. During the intake call, the AI can check your schedule and offer available appointment times. If the patient books, the appointment is scheduled and the new patient chart is pre-populated with demographics and intake data. Your staff is ready.
