Custom-Built, Not Plug-and-Play

Independent AI for Tebra Practices: Custom, Portable, Integrated

A custom-built AI receptionist that integrates with Tebra, answers in under a second, and stays with your practice if you ever change EMRs.

Section 1

Why Tebra practices are adding an independent AI receptionist

Tebra is a solid platform for independent practices, and MedReception AI is built to work with it, not around it. The problem we solve sits in front of the EMR: the phone. Front desks field heavy call volume, missed calls quietly cost new patients, and hold times cause hang-ups before staff ever hear the request. MedReception AI answers in under one second, handles unlimited simultaneous calls, and covers nights and weekends, so a Tuesday-morning surge and a Saturday-night voicemail get the same reliable response. Our AI family divides the work: Katie answers instantly during business hours, Annie covers after-hours, Victoria turns voicemail into structured summaries, Sallie handles scheduling, and Bailey guides your onboarding. Everything the AI captures arrives as a structured, EMR-pasteable summary your team drops into Tebra. The AI never makes clinical decisions and never touches the chart on its own; it routes, documents, and escalates, and your clinicians decide.

Section 2

Custom-built for your practice, not configured from a generic template

Most AI phone products are plug-and-play: you get a generic agent and adapt your practice to it. MedReception AI works the other way. Every practice gets a tailored AI, and the tailoring is concrete. Call scripts reflect how your front desk actually greets and qualifies patients. Triage and escalation rules encode your thresholds, including which symptoms go straight to a nurse and when callers are directed to call 911 for emergencies. Provider routing follows your real panel, so each provider's patients reach the right provider's schedule. Practice policies, refill rules, no-show policy, hours, and holiday closures are built in rather than bolted on. Even the brand voice is yours: a pediatric clinic and a pain-management practice should not sound identical on the phone. We start from a library of more than 30 specialty templates, then configure the details with you during white-glove onboarding, and nothing goes live until you have reviewed and approved the flows.

Section 3

How the Tebra integration works

Integration with Tebra typically takes three to six weeks, and Bailey, our onboarding AI, plus a real human team guide you through it. During setup we map your providers, locations, appointment types, and policies, then you review and approve every call flow before launch. Once live, the AI delivers structured summaries formatted for pasting into Tebra: who called, why, urgency, callback number, and the action taken. That structure matters, because a front desk can process a clean summary in seconds instead of replaying a rambling voicemail. Two boundaries are deliberate. First, no autonomous chart changes: the AI never writes to a patient record without a human in the loop. Second, no clinical decisions: routing and escalation rules can flag urgency, but a clinician always makes the call. Compliance is built in from day one, with HIPAA-aligned operations and a signed BAA in the US, plus PIPEDA/PHIPA coverage in Canada and Privacy Act/APP alignment in Australia.

Section 4

Portability: your AI should outlast your EMR decision

Across the industry, EMR vendors are adding built-in AI phone and communication features. There is real convenience in a bundled option, and it may look cheaper. But there is a tradeoff worth naming honestly. An AI that is a feature of your EMR stays behind when you leave that EMR. Every script refinement, every triage rule, every month of tuning becomes sunk cost the day you migrate. MedReception AI is EMR-independent by design. We integrate with Tebra today, and we also integrate with athenahealth, eClinicalWorks, Epic, Elation, Cerbo, Hint, AdvancedMD, and ModMed; we like these platforms and work with them, never against them. If your practice ever moves, your trained, tuned AI, with its scripts, routing logic, and accumulated refinements, comes with you, and we set up the integration with your new EMR. For an independent practice, separating phone intelligence from EMR choice keeps a major decision reversible instead of compounding.

Section 5

Free lifetime edits, and a real team behind the AI

An AI receptionist is never finished, because practices change. A new associate joins, flu season shifts your triage priorities, your refill policy tightens, your Friday hours move. With MedReception AI, every one of those updates is free, forever. Script changes, new providers, policy revisions, seasonal adjustments, and ongoing tuning of the AI itself are included for the life of your account, so your AI keeps improving after go-live rather than slowly drifting out of date. Behind the AI is a real customer service team that knows your configuration, answers when something needs adjusting, and refines call flows based on how your patients actually use the phone. That combination, custom-built from day one and continuously optimized at no added cost, is the core of what we do. If you run a Tebra practice and want to hear what a tailored AI would sound like answering your phones, book a MedReception AI demo.
